Expected life is a planning note, not a promise

Write the date you would be unsurprised to replace it. Do not invent a manufacturer’s lifespan you do not have.
A machine does not owe you a round number of years. What you can write is a planning note: given how it is used, and what you have already spent, you would not be surprised to replace it around a certain season. That note is allowed to be revised.
If you have no basis, leave it blank. A blank is more honest than “ten years” copied from a brochure you cannot find.
What should change the note
Repeated stops, a repair that approached the price of a replacement, a room that is harder on the kit than you assumed, or a change in programme that doubled the hours. Each of those is a reason to edit the note and say why.
Do not let the date automatically create a purchase. It creates a conversation while the machine is still in service, which is the point. A surprise replacement in a week when three machines fail is what the note is there to avoid.
The note stays internal. Members do not need your replacement calendar.

The treadmill in the corridor is either in service, stored with known faults, or scrap. It is not a secret backup.
Repair or replace gym equipment
Replace when the part is gone, the same fault keeps returning, or the machine is unsafe while you wait. Use the spend you recorded. Do not invent a lifespan.
When a repair is really a replacement
Purchase date, warranty, and what you have already spent belong on the asset — before you approve the next expensive fix.
