The file a machine needs before anyone reports a fault

Category, name, place, and status are enough to start. The rest can arrive with the first real job.

An empty register is not a project plan. It is a list of machines the floor can already point at.

For each asset, write the category, the name, the place, and whether it is in use. Add brand and model if they are on the frame. Add the serial if the plate is readable. Stop there if that is all you have. A perfect file that never gets opened is worse than a short one the team uses tonight.

Add these when you next touch the machine

  • A photo of the whole unit, and one of the serial plate.
  • The manual, if you can find it without a search through old email.
  • Warranty dates, if the invoice is in the same folder.

Do not block the floor on missing purchase prices. Cost matters when you are deciding on a repair. It does not matter for the first fault of the week.

The status is the part people will trust or ignore. If “active” and “out of service” mean different things to the desk and the trainers, fix the words before you add more fields.
