Keep the purchase next to the machine it bought

The price, the supplier, and the date belong on the asset. A finance folder that nobody on the floor can open does not help the next repair.
You do not need to publish what you paid. You do need it when you decide whether to repair. The invoice, the supplier, and the date the machine went into service are the minimum.
If the gym was bought as a going concern and the invoices are missing, write “purchase unknown” rather than a guessed price. A guessed price becomes the number people trust.
Supplier is a working fact
The name and how you reach them belong on the asset if that is who you call for parts. A generic “the equipment guy” is not a supplier. When the person changes, change the note. Do not leave a mobile number for someone who left the company.
Currency should be the currency on the invoice. Do not convert it for neatness. A converted number looks like a fact and is not the document.
When you add a second machine of the same model, do not copy the price blindly if the invoice differs. Each asset has its own paper.

When a repair is really a replacement
Purchase date, warranty, and what you have already spent belong on the asset — before you approve the next expensive fix.
