Record a new machine before members use it

The arrival hour is when the serial is readable and the damage is still obvious. After the first class, both get harder.
Unpack with the file open. Name, model, serial, zone, supplier, invoice if you have it, and a photo of the whole unit in place. Look for transit damage before the courier is gone: a bent foot, a cracked shroud, a console that will not power. That is a note on day of arrival, not a fault you discover in week three and cannot prove.
Do not put it in service to “see how it goes” with no status. In service means you accept it. If you are still commissioning, say so, and keep members off it.
The manual and the keys
Put the manual and any spare clip or key on the asset before they enter a drawer. The drawer is where the tether disappears.
If installers adjusted something, ask what. Tension, anchors, and software versions are the usual silent settings. Write them down. “Installed by the supplier” is not a specification.
The public code goes on when you are willing for reports to arrive. Not before the machine is safe to stand next to.

The treadmill in the corridor is either in service, stored with known faults, or scrap. It is not a secret backup.
Repair or replace gym equipment
Replace when the part is gone, the same fault keeps returning, or the machine is unsafe while you wait. Use the spend you recorded. Do not invent a lifespan.
When a repair is really a replacement
Purchase date, warranty, and what you have already spent belong on the asset — before you approve the next expensive fix.
