A preventive maintenance plan for a gym floor

Build the plan from hours and classes, not from a copied calendar. A missed week is written down. A perfect spreadsheet that nobody walks is not a plan.
A preventive maintenance plan for a gym is the list of checks you actually walk, on a rhythm the floor can keep. Copying a hotel’s annual chart onto a 24-hour club does not maintain anything. The machines wear with hours, classes, and sweat. The plan names who walks, what they look at, and what they do when they find a fault.
Split the work by how often it can be done
Three depths are enough for one site.
The opening walk is every day you open, or every shift on a 24-hour floor. It is the inspection before members train: stops, obvious cables, collars, and anything already marked out of service. It is short because it happens often.
The weekly pass is slower. One zone a day works better than “the whole gym on Monday” if Monday is already a class peak. Treadmill tracking and heat, bike pedals, rower rails, and a look under shrouds you can open without a full repair. This is where treadmill maintenance and weight stacks live.
The deeper pass is monthly or by hours, not by a date you invent. Cables you cannot see on the opening walk, decks, anchors, and the parts you only reach with the cover off. If a zone had a heavy class block, bring that pass forward. If a room was closed, do not pretend you inspected it.
Write misses
A week you skip is a line in the register: skipped, and why. An empty week looks the same as a week where everything was fine. The next person then trusts a silence. Overdue is a fact. It is not a failure of the person who records it.
Each check that finds something opens a fault or a work order on that asset. The plan is not a second list of problems. It is how the problems get onto the machine’s file.
Do not stock the plan with tasks nobody can finish
“Torque every bolt in the gym” is not a weekly task. Name the bolts that come loose on your floor: rig anchors, treadmill feet, bike pedals. Leave the rest for the deeper pass.
Manufacturer service sheets are useful when you have them for the model you own. They are not a moral duty to perform every line on a machine whose manual you do not have. Do the safety items anyway: stops, cables with a broken strand, pins that will not seat, cages that are bent.
One site first
A chain can share a template later. The first plan is this floor’s zones, this floor’s hours, and the names of the people who walk it. Review it when you add a room or a class programme, not every time a spreadsheet looks untidy. The record of what you found is the part that makes the next year easier. The calendar alone does not.
