Move the job out of the group chat

The chat can announce that a machine is closed. It cannot be the place where the history lives.
Group chats are good at “treadmill 4 is taped off”. They are bad at what happened next. The message scrolls away, the photo compresses, and the person who fixed it never writes the part number.
Use the chat as a bell, not as a file. The fault and the work order are the file. If someone reports in the chat, the next action is to put it on the asset, not to reply with a thumbs-up and walk away.
A habit that sticks
Whoever reads the chat first opens the fault or confirms it is already open. Whoever finishes the job writes the resolution on the work order before they say “done” in the chat. The chat line can be short because the record is not.
Do not paste the whole internal note back into the chat. Cost and staff comments stay off the messages members might see over a shoulder.
Once a week, look at the chat and ask what never made it into the register. That gap is the real backlog.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
