Write labour time the way the job actually went

A round hour on every job makes the history useless. Ten minutes and a return visit are both real.
Labour time is not a performance score. It is how you learn which machines eat a morning, and whether a contractor’s visit matched the work.
Write the time on the job: diagnosis, the repair, the test, and the second visit if you had to come back with a part. A single “1 hour” on every line hides the treadmill that took half a day and the pin that took five minutes.
Include the waiting only if you mean it
Time spent on site waiting for a member to finish a set is real. Time the job sat in a queue is not labour. Keep those apart, or your cost of repair will look like a staffing problem.
If two people worked, say so. A job that needed two people to lift a stack is a different job from a console reset.
You do not need a timesheet system for this. You need the number on the work order before it is closed. Guessing at the end of the month is how every job becomes an hour.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
