See what is overdue without a second spreadsheet

If the real list lives in a sheet, the register is a brochure. Due and late belong on the jobs.
A spreadsheet feels precise because you built it. It is also a second place for the truth to go stale. The job already has a date. Overdue is that date in the past, still open.
Each morning, the useful view is short: unsafe and still open, unusable and still open, planned work that slipped. If you need a colour code in another file to know this, the register is not finished.
Do not hide lateness
Marking a job done so the list looks clean is the failure mode. Leave it late and say why: no part, no person, waiting on a decision. A late job with a reason can be managed. A fake completion cannot.
When you do use a sheet for a one-off count, copy the result back onto the assets and stop using the sheet. Two living lists is how a machine gets serviced on one and ignored on the other.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
