Write the lead time on the job when you order

A part that takes three weeks is a status, not a surprise to announce when the member asks again.
The moment you order, you usually know more than “soon”. The supplier said a week, or they said they would call, or they had no date. Put that on the job. “Ordered” without a date is how a three-week cable becomes a rumour.
If the machine is out of service for that wait, the public status should stay honest. Do not promise a member a day you do not have. “Closed until the part is here” is a complete sentence.
When the date slips
Update the job. A slipped date is not a new fault. It is the same job, still waiting. If you leave the original promise, the next shift will tell the member the old day.
A supplier who misses twice on the same part is a note on the asset’s file, not a complaint only in chat. The next time you buy that machine, the wait is part of the decision.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
