Keep the manual and the invoice next to the machine

A document that lives only in someone’s inbox is missing the moment that person is off shift.
The useful papers are the ones you need while you are standing at the machine: the manual, the invoice, the warranty note, the last inspection, and any service sheet a contractor left behind.
Put them on the asset. A shared drive named “old gym admin” will not be opened at 7 a.m. when a belt has walked off the deck.
If the original is paper
Photograph the pages that have the model, the serial, the wiring warning, and the torque or tension note if there is one. You do not need every marketing page. You need the pages a technician asks for.
When a contractor emails a report, save it on the job and on the asset if it describes the machine rather than only the visit. The visit date belongs on the work order. The finding belongs where the next fault will be read.
If you cannot find the manual, write that down. “Manual not on file” is a fact. Pretending you will look later is how the file stays empty.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
