Put the quote on the job before you approve it

A price in a text message is not an approval. The job holds the figure you said yes to.

When a contractor or a supplier prices a repair, the number goes on the work order before you agree. The date of the quote goes with it. A later invoice then has something to be compared with.

If the quote is a range, write the range. Do not turn “up to” into a single neat figure. The actual cost lands later, on the same job, when you know it.

What the quote is not

It is not a reason to skip the description of the work. “Replace belt, dress deck, test at running speed” is the work. The price is what you are willing to pay for that work. A price with no description will be matched to a different visit.

If you decline the quote, write that too, and what you will do instead: another supplier, a smaller repair, or retirement. A declined quote that exists only in email will be approved by accident a month later by someone who did not see the no.

Members do not see this number. The person who signs the spend does.
