When a repair is really a replacement

Purchase date, warranty, and what you have already spent belong on the asset — before you approve the next expensive fix.
A machine is not only working or broken. It has a purchase date, a warranty, an expected life, and a trail of what you have already spent to keep it going.
Keep the simple facts on the asset
- Supplier, purchase price, and currency.
- Warranty start and end, with the documents next to the dates.
- The day it went into service.
- Expected life, and a replacement date if you already have one.
- The manual, the invoice, and the last inspection report.
When you retire a machine, do not delete it. Link the one that replaced it. The history of the old asset is how you decide what to buy next. A deleted rower is a blank page.
The question before the next repair
Compare what you have spent on repairs with what it would cost to replace the machine. You do not need a perfect model. You need the number in the same place as the fault history.
A treadmill that has waited on parts three times this year is telling you something a single invoice will not. Repeated breakdowns are a lifecycle signal, not just another Tuesday job.
Warranty claims belong in that same file. If a belt fails inside the warranty window, the record should show the dates. Searching an inbox is not a claim process.
Write the asset down once. Attach the faults and the jobs. Look at the file before you approve the next expensive repair. A chain uses the same file.

The treadmill in the corridor is either in service, stored with known faults, or scrap. It is not a secret backup.
Repair or replace gym equipment
Replace when the part is gone, the same fault keeps returning, or the machine is unsafe while you wait. Use the spend you recorded. Do not invent a lifespan.
Delivery damage is a record, not a scuff to ignore
Photograph it before the packaging leaves. A dent you mention next month is a dent you own.
