Add a field only when you have used the note three times

A custom field for every idea becomes a form nobody finishes. A repeated note deserves a field.
The first time you care about warranty end, write it in the note. The third time you hunt for it, make it a field. Fields that arrive before the habit are empty, and empty fields teach people the form is optional.
Good candidates are facts you filter on: warranty end, supplier, year it went into service, whether it needs a contractor. Bad candidates are essays. An essay is a note. A date is a field.
Name it in the team’s words
“Commissioning date” will be skipped. “In use since” will be filled. The field should match the sentence.
Do not add a field to impress a report. If you never sort or filter by it, it is clutter on the file a trainer opens at 7 a.m.
When you retire a field, do not delete the old values without a thought. They may be the only record of a date you no longer ask for.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
