Separate a comfort complaint from a safety fault

A hard seat is a comfort note. A rocking bench, a hot smell, or a frayed cable is a reason to stop use.
The floor hears both, often in the same sentence. “This treadmill is terrible” might mean the fan is loud, or it might mean the belt grabs. The first is a comfort note. The second can throw a person.
Ask one question: if someone uses it again before you look, could they get hurt? If yes, take it out of service and open the fault as unsafe. If no, record it and put it in the planned work.
Examples that are not comfort
Hot smell, smoke, sparking, a guard missing, a cable with broken strands, a bench that tips, a pin that does not lock, a stool with a cracked weld, a climber that free-wheels. These are not “we will see on Thursday”.
Examples that usually are comfort: a peeled logo, a squeak with no play in the joint, a screen that is dim but readable, a preference for a different seat pad. They still get a record. They do not get the same priority.
If you are between the two, choose safety. You can reopen the machine in ten minutes after a look. You cannot undo the other outcome.

Smaller does not mean informal. A broken hold, a loose bolt, or a torn mat is a fault with a status.
Clearance is a condition of the machine
A treadmill too close to a mirror, or a rack too close to a walkway, will be reported as the machine’s fault. Measure it once.
A hot smell is a stop, not a note for later
Hot insulation, a warm plug, or a console that smells sweet and sharp: take the machine off and do not switch it back on to ‘see’.
