Take photos you can still use in six months

A dark close-up of a bolt is not a record. The useful set shows the machine, the place, and the thing that is wrong.
Photos on an asset are for the person who was not there. Six months later, “the loose bit” is meaningless if the frame of the photo is a shadow.
Take one photo of the whole machine in its zone, so someone can walk to it. Take one of the data plate or your own code. Take the fault as a third photo, wide enough to show which side of the machine.
What to skip
- A photo of a screen that has already gone dark.
- Five near-identical angles of the same scuff.
- A picture of a person, unless they are the inspector and your process asks for that.
Name is less important than attaching the photo to the right asset or the right job. A camera roll called “gym stuff” is the same problem as the group chat.
Before-and-after belongs on the work order, not only on the fault. The fault shows what was reported. The job shows what changed.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
