Point the new machine at the one it replaced

The new asset starts empty only if you let it. The reason it was bought sits on the old file.
When the replacement arrives, create its own file. Do not recycle the old record as if the frame were the same. Then link them: this machine replaced that one, on this date.
Copy across what is still true and useful: the zone if it took the same place, the supplier if it is the same, the lesson you learned about lead time. Do not copy the old faults onto the new serial. Those faults happened to the old frame.
The first weeks
The new machine gets a proper arrival note: serial, any delivery damage, the date it entered service. Early faults are gold. They tell you whether the problem was the model or the room. If you wait to “let it settle” before recording, you will explain away the first failure.
Retire the old code the day the new one is in use. Two active codes for one patch of floor will split the reports.

Repair or replace gym equipment
Replace when the part is gone, the same fault keeps returning, or the machine is unsafe while you wait. Use the spend you recorded. Do not invent a lifespan.
When a repair is really a replacement
Purchase date, warranty, and what you have already spent belong on the asset — before you approve the next expensive fix.
