Retire a machine without deleting it

Gone from the floor is not gone from the record. The next purchase needs the reason this one left.
Set the status to retired, take the public code out of use, and remove the signage. Write where the frame went: sold, scrapped, stored, or moved to another site. A retired asset with no destination will be “found” in a cupboard and put back into service without a check.
Leave the faults and the jobs. They are why you retired it, or why you might buy the same model again with your eyes open.
Storage is not retirement
If it is in a back room and might return, say stored, not retired. Stored equipment still needs a condition note. A stored treadmill with a known bad deck should not reappear as active because the floor was short one.
Do not reuse the code immediately for a different machine. A member’s old screenshot, or a label you missed, will file a fault on the wrong history.
The retirement date is the date it left service, not the date you remembered to tidy the list.

The treadmill in the corridor is either in service, stored with known faults, or scrap. It is not a secret backup.
Repair or replace gym equipment
Replace when the part is gone, the same fault keeps returning, or the machine is unsafe while you wait. Use the spend you recorded. Do not invent a lifespan.
When a repair is really a replacement
Purchase date, warranty, and what you have already spent belong on the asset — before you approve the next expensive fix.
