A manual you cannot find at the machine is a missing manual

If the only copy is a link in a leaver’s email, write ‘not on file’ and obtain one.
The manual’s job is to be open next to a decision: torque, lubrication, error codes, the layout of the anchors. A manual in a cupboard on another floor will not be fetched. Put a copy, or a clear pointer that works without that person, on the asset.
Error-code pages and the exploded diagram are the pages people actually need. If the full file is huge, those pages can be the ones you photograph. Say that the rest exists, and where.
When there is no manual
Write that. Then ask the supplier while the relationship is calm, not on the morning of a failure. A PDF in the file ends the hunt.
Do not accept a manual for a similar model and file it as this one. Similar diagrams cause wrong parts to be ordered. If it is a cousin model, label it as a cousin.
When you retire the machine, keep the manual with the retired file for a while. The replacement may be the same family, and the diagram still answers a question.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
