Tell a member the status, not the internal argument

The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.

Members ask because they are standing there. The answer is the status: in use, out of service, or you are about to look. If it is already reported, say that. If it is not, take the report. Do not explain the supplier delay, the staff shortage, or who failed to order the cable.

A second sentence is allowed if it helps them train: which nearby machine is the same kind, if one really is. Do not invent an alternative that is also broken.

What staff should not improvise

A date you do not have. A cause you have not found. A promise that it will be fine for a light user. Light use of an unsafe machine is still use.

If the member is angry, the status does not change. Write the fault if there is a new fact. Do not close a job to end the conversation.

The same sentences should work at reception and on the floor. If they differ, the member will walk from one to the other and trust neither.
