Move a machine without starting a new history

A new corner is not a new asset. The faults, the jobs, and the warranty move with the frame.
Gyms rearrange. A rower that lived by the window is now against the mirror line. If you create a new file because the place changed, you have split the history in half.
Change the zone. Add a line that it moved, and when. Leave the old faults on the same asset. The cable that was replaced last winter is still the cable in this frame.
Before you push it
Check the anchors, the power, and the clearance in the new spot. A move is a common time for a loose foot or a cable trapped under the frame. If something is wrong after the move, open a fault on the same asset. Do not call it a new machine because the problem showed up in the new place.
If the machine leaves the building, retire it or record the transfer. Deleting the file because the corner is empty removes the reason you might not buy that model again.
The public label should move with the machine. A code left on the old patch of floor will collect reports for a ghost.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
