Resolved means someone wrote down what fixed it

A closed fault with an empty resolution is a hidden message. The next person will open the same problem as if it were new.
Closing is the easiest click and the most expensive habit. If the resolution is blank, the history says the machine had a problem and then, somehow, did not.
Write what you did in one or two sentences: replaced the console key, tensioned the belt, tightened the bench foot, found nothing and put it back in service. Add the part if you used one. Add whether you tested it under load, not only by eye.
Who is allowed to close
The person who did the work, or the person who checked it. Not the person who is tidying the list at the end of the month. A monthly tidy that closes old faults without a sentence destroys the reason you kept them.
If the member’s report was wrong, say that plainly. “Could not repeat the catch. Tested with the stack. Left in service.” That is a resolution. Deleting the fault is not.
The date of the resolution matters when the same symptom returns in a fortnight. You want to see that it was already “fixed”.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
