Treat the second report as a signal, not a second job

Two members describing the same catch in the lat pulldown are not two repairs. They are one fault heard twice.
Duplicate faults make the board look busy and the history look worse than it is. The second report still matters. It tells you the problem is still there, or that more than one person hit it.
When a new report matches an open fault on the same asset, attach it. Do not open another work order unless the work is actually different. “Cable catch” and “cannot select the weight” on the same machine may be one cause. Read both before you decide.
When it is not a duplicate
A second problem on the same machine can be real: the console is dead and the belt is torn. Those are two faults. Closing one should not close the other.
If you are unsure, keep one open fault and write the extra symptom on it. Splitting later is easier than merging two half-finished jobs with two costs.
Tell the second person, if you can, that it is already open. Silence makes people report it again in a chat, which is how the duplicate returns.

Tell a member the status, not the internal argument
The useful sentence is whether they can use it, and whether you already know. The part number is not for the floor.
Reset the rig to a known plan after class
A rig left as the last workout set it is a different machine. The closer puts it back and notes what broke.
Find the model and serial number on gym equipment
The model and serial are on a plate on the frame or inside the console bay. Photograph them. If the plate is gone, say so. Do not invent a number.
